Creating Templates

There are several types of templates for documents. Each of them has specific details according to its use.

The system enables users to automatically extract values from the text files that are entered into the system based on the predefined locations. These fields are also checked after saving by a validator and then approved and corrected.

Automated Electronic Archiving Flow Chart

It is the set of steps that the document must pass in order to obtain approval before it is saved. These steps are linked to each classification in the system by one or many users.

SMART Archiving deals with the versions of documents automatically. It saves the data of documents before and after editing, in addition to that, it allows reviewing documents based on users, times and dates.

SMART Archiving allows integration with other systems easily. There is an integration mechanism through APIs in any stage in the workflow.

To preserve the archived documents and their data, SMART adopts an easy and secure mechanism to schedule data copies periodically so that the backup is done automatically on a secure storage environment.

User Management

SMART Archiving guarantees complete confidentiality of documents and the data associated with them, as the permissions are defined at the level of folders, templates, documents, and operations (such as saving, modifying, accessing, deleting, printing). Distribute them by users or groups.

If users do not have permission on a specific document or folder, the folder will not be displayed for them. Folders can also be used to classify documents according to importance for the purposes of granting access.
